Job Description – SCSS Coordinator


DUTIES AND RESPONSIBILITIES

The Sales/Client Service Coordinator is responsible for direct oversight of and proficiency in the administrative operations.  This position ensures that the studio is providing the therapeutic massage industry’s best customer service experience with each and every client.

Duties of the Sales/Client Service Coordinator include but are not limited to:

 HIRING & TRAINING

  • Assist with the SCSS hiring process.
  • Assist with the administrative training in accordance with established Elements processes.
  • Assist with MindBodyOnline (MBO Software) training.
  • Coach, mentor and train SCSS staff in the areas of: customer service, sales and studio operations.
  • Orient newly hired Massage Therapists to studio administrative processes.

DAILY OPERATIONS

  • Create a warm, inviting environment for our staff and our clients.
  • Oversee all established processes at the front desk.
  • Work closely with Studio Management Team (Lead Therapist and/or Owner) to ensure the back of the house and the front of the house work closely together and adhere to established “service path” processes.
  • Demonstrate complete competency and proficiency with MindBodyOnline (MBO)-Studio Data Management System. 
  • Work with Studio Management Team (Lead Therapist and/or Owner) to implement and create programs to increase productivity and reach revenue goals on a weekly, monthly, quarterly and yearly basis.
  • Ensure studio compliance with all HIPAA rules and regulations and Elements Privacy Practices.
  • Assist with maintaining studio website and updating all Facebook, Twitter and Social Networking accounts and opportunities.
  • Track Wellness Program direct debit information and following up with delinquent accounts.
  • Follow-up with members who have not been in the studio for over 4 weeks to ensure that they are not building up too many sessions on their accounts.
  • Communicate effectively with Studio Management Team  (Lead Therapist and/or Owner).
  • Familiarize self and administrative staff on MBO system changes and updates to minimize disruption with system changes.

STUDIO UPKEEP

  • Monitor studio supply inventory.
  • Notify owner of equipment needing repair or replacement.
  • Assist with maintaining the cleanliness and appearance of the studio.

 OTHER DUTIES

  • Sales/Client Service Coordinator is expected to be flexible with their schedule, and help with anything that might benefit the studio. 
  • Other duties as assigned.

QUALIFICATIONS

  • Sales experience (health club or similar industry preferred)
  • Customer service skills
  • Computer proficiency – Microsoft Office, Word, Excel, Internet Explorer
  • Retail or industry experience a plus
  • Web-based scheduling a plus
  • Attention to detail and ability to follow instructions (written and verbal) is essential
  • Ability to remain flexible in a constantly changing environment
  • Ability to remain confident and calm under stress

Job Description – Massage Therapist

DUTIES AND RESPONSIBILITIES

The Massage Therapist is responsible for providing the industry’s best therapeutic massage in a professional and inviting environment where clients experience the Elements difference.

 To achieve this goal, the Massage Therapist is responsible for adhering to established “Service Path” procedures and processes to ensure a flawless “Elements Experience” including but not limited to:

  •  Arrive on time to ensure you have plenty of time to prepare for your first client
  • Dress in uniform (clean, neat and professional).  Refrain from scented lotions, aromatherapy or perfumes.
  • Check- in with SCSS /office manager upon arrival
  • Greet every client with a smile.  Greet them by their first name and shake their hand.
  • Using the intake process, gather information to develop a treatment plan together then educate them on what to expect during the session. 
  • Begin and end massages on time
  • Follow draping and pre-natal protocols
  • During session check in with client to make sure pressure is adequate at least three times.  Once within the first 5 minutes, once at the half way point and once during the final 10 minutes.
  • Following the session, debrief with the client and make recommendations for a client’s return visit using the provided Reschedule Recommendation Card
  • Write accurate and timely SOAP notes before leaving studio.
  • Be courteous and professional with all clients.  If at any time you feel uncomfortable during a session, stop the session and let the studio manager know immediately.
  • Be professional and quiet both when in massage session and when not in massage session.  If you have to talk to your co-workers do so in the break room.
  • When not in session, complete downtime checklist.
  • Follow end of shift room and studio procedures.
  • Assist with keeping studio clean.  Always leave the treatment room at the end of the day like you found it (or cleaner)
  • Inform manager of any changes of address/phone, continuing education, etc.
  • Maintain licensure, CEU requirements and current liability insurance.
  • Comply with all HIPAA rules and regulations and Element’s privacy practices.
  • Actively participate in staff meetings
  • Communicate effectively with coworkers
  • Provide timely and appropriate communication with studio management
  • Be flexible
  • Other duties as assigned

 

QUALIFICATIONS

  • Looking for seasoned professionals and new Massage School Graduates
  • Variety of modality skills needed- Deep Tissue, Sports, Swedish, Trigger Point, Myofascial, Pre-natal, Hot stone. (Pre-Natal and Hot Stone require certification).  You do not need all these skills.  We offer training to help you gain new skills and certifications.
  • Customer service skills
  • Ability to remain flexible in a constantly changing environment
  • Valid license and current liability insurance. (We can help you obtain this)

Job Description-SCSS      

DUTIES AND RESPONSIBILITIES

The Sales/Client Service Specialist (SCSS) is directly responsible for client conversions and coordinating front desk operations.

The SCSS is responsible for client conversions in order to meet studio goals and quotas to ensure growth and profitability through the sales of:

  • Memberships to the Wellness Program
  • Packages
  • Gift Cards
  • Additional Visits (Rebooking)
  • Upgraded sessions such as longer sessions or hot stone

The SCSS is responsible for adhering to established “Service Path” procedures and processes to ensure a flawless “Elements Experience” including, but not limited to:

  • Greeting every client with a smile.
  • Creating a calm environment.
  • Answering phones professionally and converting phone calls into appointments.
  • Demonstrating complete knowledge of our massage model, therapist skill levels and price      structure.
  • Proficiency with massage therapy terminology.
  • Matching clients and therapists correctly based on our level system and client’s problem areas.
  • Mastering MBO through accurate scheduling and completing the retail sales process.
  • Addressing emergency scheduling issues quickly and professionally.
  • Facilities management, including but not limited to, hourly studio checks to ensure massage rooms and restrooms are clean and properly stocked.
  • Completing tasks by deadlines as assigned by supervisor. (Example: Communicating with members and clients who have not visited the studio in the past 45 days with the goal of scheduling their next session.)
  • Other Duties as assigned.
  • Communicating with clients to determine areas of improvement within the Service Path and complete client satisfaction.
  • Providing helpful responses to requests from clients and involve management as needed.
  • Addressing client requests and disputes professionally and efficiently.
  • Following all HIPAA regulations and Element’s privacy practices.
  • Communicating effectively with coworkers.
  • Providing timely and appropriate communication with studio management.
